T-Mobile Changemaker Lab

Both Participants and Chaperones will get the chance to take part in many fun and engaging activities while attending the T-Mobile Changemaker Lab. You can find a breakdown of the week here:

*Sunday and Wednesday are travel days. Sunday also includes Lab Registration and a Welcome Dinner. You are welcome to travel home on Tuesday evening after the Lab events have concluded.

Travel Information

Important Notes:  This schedule is tentative and subject to change. Participants are expected to be present and attend all events to ensure a smooth and community-driven experience for everyone. 

We will update this agenda with more details on the types of workshops and activities as we get closer to the Lab. 

Due to COVID restrictions and to keep an equitable experience for everyone in attendance, this is a closed event. No additional guests will be allowed to join us at the hotel, in our sessions, or at meals. Thank you for understanding!

Air Travel Details 

Arrival Airport | Seattle-Tacoma International Airport (SEA) only. Flights to any other airport will not be permitted. 

Flight Itinerary:  

The T-Mobile Event Team will arrange your air transportation to Seattle, Washington, once you and your parent/guardian have registered. We cannot reimburse you for tickets purchased on your own.  

A proposed itinerary will be emailed to you and your group within 3-5 business days of receipt of ALL completed registrations for your group members. Please approve the itinerary by replying to: T-MobileAir@airfullfillment.com. Your approval is required within 24 hours. Every attempt will be made to secure airline reservations as close to your preferred request as possible, based on flight availability at the time your registration is received, and your itinerary is approved.  

For ticketing and airport security purposes, please enter your first, middle and last name as it appears on your TSA approved form of identification on your registration form. If you wish to use a nickname, please enter the nickname in the Name Badge section. 

Airfare increases incurred due to travel outside of group dates, specific airline requests or changes you make will be your responsibility. Your credit card will not be charged until we have an approved itinerary from you. Flight itineraries and fares cannot be guaranteed until tickets are issued. Tickets cannot be issued until your approval email has been received. 

In compliance with airline rules, once a ticket is issued, it is nonrefundable, and no name changes are allowed. If a name change is necessary, a new ticket must be purchased at the expense of the individual traveler. Any changes/cancellations made to the outbound flight must be made prior to the original departure date for the ticket to be valid (i.e. if you miss your flight and do not contact the airline, your ticket will not have any value for future use). Additional airline fees may apply for changes confirmed after your ticket has been issued. 

If your flight is delayed or canceled, we will work with you to rebook.  

Flights will be booked to arrive by Sunday, October 1, 2023, to get you into SEA in time for registration and our Welcome Dinner (3:00 PM PST is the latest possible arrival time). 

Flights will be booked to depart Tuesday night, October 3, 2023, after 8:00 PM or Wednesday morning, October 4, 2023, as early as possible to get you home. If you prefer to leave in the late evening of Tuesday, October 3, please let our team know in your registration form.  

Seating Preferences 

Seats will be assigned. Bulkhead or exit row seating may be restricted for assignment at the airport on the day of departure. 

With some airlines, you save money by checking in your bag and paying online in advance, instead of paying at the airport. Most airlines allow one carry-on item that does not exceed 50 pounds along with either a purse, briefcase, laptop or camera case. All carry-on baggage must fit either under your seat or in the overhead compartment. Any piece of baggage that exceeds size and weight limitations will be subject to additional charges, which will be your responsibility. Luggage Allowance 

Most airlines are now charging fees for EACH piece of luggage checked. Charges vary depending on the airline. Checked luggage fees will NOT be covered by T-Mobile or Ashoka. It is recommended to pack all items in a carry-on bag. 

Airline Upgrades 

The T-Mobile Event Team can assist with your airline upgrade request for a nonrefundable $50.00 USD service fee per upgrade. This fee does not guarantee the airline will confirm the upgrade request. Please note: negotiated group airfares normally do not qualify for frequent flyer upgrades. To receive miles or upgrade using miles or status, the name on your frequent flyer account must match the name on your airline reservation. 

Flight Changes/Cancellations 

Need help while traveling? On arrival day, assistance is available. Participants and Chaperones can email T-MobileAir@airfulfillment.com or call, (888) 733-1617. This is a dedicated line and team for all attendees to reach out to with any flight issues.  

If your flight is delayed or canceled, we will work with you to rebook. Please contact the flight team at (888) 733-1617. Share your name and that you are with the T-Mobile Changemakers program. If you choose to change your flight through the airline directly, we unfortunately will not be able to assist further as we will lose all ability to view/rebook tickets should another issue arise.

Check-in time: 4:00 PM at the latest (We are working to get everyone checked-in early so your room is available when you arrive or shortly after. Please note that the Hangout room will be open and available all day, for you to hangout and keep your things if your room is not ready upon arrival.)

Check-out time: 12:00 PM

Rooming Details

Three-nights' accommodation at the AC Hotel Seattle Bellevue/Downtown.

Rooms are covered (including tax) throughout the T-Mobile Changemaker Lab. We will provide you with one (1) shared standard double-occupancy room for you and your teammate and one standard single-occupancy room for your chaperone at the Marriott AC Hotel for the duration of the Lab. We will not cover any incidentals.

For teams traveling with two team members and one chaperone, the team members will share a room, while the chaperone will have their own room. For teams traveling with one team member and one chaperone, you will be sharing a room.

If your room is not ready when you arrive, we will have a place for you to store your luggage. Additionally, you can access the hangout room where team members and chaperones can grab snacks and play games while waiting for their room. Wi-Fi access is included in hotel rooms and public spaces.

 

On Arrival at Seattle Airport


Upon arrival at SeaTac airport, please proceed to the baggage claim of your arriving flight (regardless of whether you have checked luggage). Please look for a sign that reads “T-Mobile Changemakers” and the staff or driver will assist you to the vehicle.    

Please note that due to flight arrival schedules, a few of you may be in the same car as another team. However, we will send you an introductory email prior to your flight to introduce you to the team that you will be in the same car with.

For Participants Driving

Please plan your trip to arrive in Bellevue, Washington before 2:00 PM PT so you can register. Parking at this hotel is Valet only. Upon arriving at the hotel, share with the valet attendant that you are with T-Mobile Changemakers. We will cover all parking charges (one car per team) for the duration of the Lab.

Meals

Regular meals, including breakfast, lunch, dinner, and snacks throughout the day, will be provided while attending the T-Mobile Changemaker Lab.

If you have any dietary restrictions or allergies, please let our team know in the Event Registration form.

You'll be responsible for any charges or expenses you incur during the lab beyond what is described above. These include, but are not limited to phone calls, upgraded internet access, valet and laundry service, gift shop, retail purchases, and any other non-program related activities.
